WINTER INFORMATION LETTER
We at CHARLIE’S Beech Mountain Realty & Rentals are excited about being your host for your upcoming vacation. We would like to take this opportunity to inform you of a few things that will make your stay more enjoyable. Please be sure to read both sides of this letter as it contains important information regarding your stay.
LOCATION: Our rental office is located at the corner of Skiloft Road and the Beech Mountain Parkway. It will be the second building on your left as you top Beech Mountain. Our mailing address is 3455 S. Beech Mountain Parkway, Beech Mountain NC 28604. Phone numbers are 828-387-4291 or 800-845-6164. We recommend calling our office for directions. GPS, Map Quest, Google and the like are not as accurate in our “neck of the woods”.
ADVANCE PAYMENT: Please designate one person to be responsible for payment, time does not allow dividing the balance with your group. We require 50% of the rental amount to confirm your reservation. This must be paid within 7 days of booking or your reservation will automatically cancel. You may pay with personal check as long as time allows at least 30 days prior to arrival date. Otherwise a money order or cashiers check is needed. We DO NOT ACCEPT credit cards for advance payment due to NC Real Estate laws requiring signed agreements.
ARRIVAL: Check-in is 4:00 p.m. until 5:00 p.m. If your rental unit is clean and ready you may check in earlier but we cannot guarantee this. Please call the day before your arrival if you wish to inquire about your check-in time. If you are planning on being after 5:00 p.m. you must call the office and make arrangements for a late arrival. Your rental must be paid in full prior to arrival in order for keys to be left out after hours.
CHECK-IN: The balance is due upon arrival. Please designate one person to be responsible for payment, time does not allow dividing the balance with your group. Acceptable forms of payment are CASH, TRAVELER’S CHECKS, MONEY ORDER, or CASHIER’S CHECK. Also, at check-in we will accept VISA or MASTER CARD for the balance. WE WILL NOT ACCEPT A PERSONAL, BUSINESS, or CHURCH CHECK at check-in. Uncertified funds are only accepted if received 30 days prior to arrival.
DAMAGE DEPOSIT: All rental units require a $50 Security Deposit Protection Insurance. This covers you against accidental up to $3000, ask your reservationist for details. A credit card will be required to be kept on file. We will deduct any excessive cleaning charges, or phone charges, etc.
DEPARTURE: Before you leave your chalet or condo we ask that you wash all dishes, take out garbage and leave the unit in an orderly condition. DO NOT MOVE FURNITURE. Close and lock all windows and doors. Turn off all lights and small appliances, please double check stove. Also, please check to be certain no linens or other flammable materials are on the heaters. Heat should be at 50° and no fire in the fireplace. Failure to do so may cause you to lose part or all of your damage deposit.
CHECK-OUT: Check-out time is 10:00 a.m. You will need to stop by the office and return your keys by check-out time. Failure to return the keys will result in a $10.00 key charge. We must ask that you check-out at this time so the unit can be cleaned and made ready for the next guest. Not observing the check-out time may cause you to lose part or all of your damage deposit.
CANCELLATIONS: In the event of a cancellation by tenant shall receive a refund of all payments made by Tenant, less and administrative fee of $50.00 if the Premises are re-rented on the terms set forth. If the Premises are not re-rented on the terms set forth herein, tenant will not be entitled to a refund of any rent payment made here-under. Any changes in reservations are subject to a 20% rebooking fee.
No refunds are given for early departure.
No refund due to the weather or other conditions we cannot control.
YOUR CHALET OR CONDO: The chalet or condo that you have rented is a privately owned unit, which is rented through our rental agency. Each rental unit is furnished according to the owner’s particular tastes. We ask that you take care of the unit as if it were your own. Please respect their property and personal belongings.
WE FURNISH: Sheets, pillowcases, towels, washcloths, and a kitchen set. We also provide you with your initial soap and toilet paper. The basic set up consists of 1 bath towel, hand towel, and 1 washcloth per person. For convince all of our high end units and most others are equipped with washer and dryer. We do ask that you bring toiletries, garbage bags, and paper products. There is a store on the mountain to help you restock.
“WHAT SHOULD I BRING”: We suggest to make your stay feel more like home you may bring extra linens and towels. If the unit is equipped with washer and dryer you need wash powders and dryer sheets. Large parties may want to bring a large pot for big dishes. Coffee drinkers may want to bring their favorite coffee maker, though most have a Mr. Coffee. If you plan on tidying up a bit bring some cleaning supplies, dishwashing detergent, ect. We also recommend bringing a VCR. These items are merely suggestions because we want your stay with us to be an enjoyable one.
TELEPHONE: The telephone is there for your convenience and we ask that any long distance phone calls be charged to you. You may either use 1-800 calling cards or dial 800- Call- ATT or 1-800 Collect. Skyline Telephone provides the phone service and has blocks on the telephones so no long distance or operator calls can be made. Some owners have chosen to have a complete block “Local Calls Only”! There will be an additional service charge on all calls out of the local area.
FIREWOOD DELIVERY IS AVAILABLE: Firewood is available in addition to your rental. In order for the firewood to be delivered prior to your arrival it must be paid in ADVANCE by separate check. We offer bundles of firewood at $5.00 per bundle. There is a 10-bundle minimum for delivery and there will be a delivery charge. If you wait to place your firewood order after arriving it will be handled as quickly as possible, but will be on a CASH only basis.
PARKING RESTRICTIONS: If booked in a SKILOFT property, parking is limited to 2 vehicles per dwelling, unless otherwise noted. Most other properties have more than two spaces. Parking permits are required for Skiloft only and will be distributed at check-in.
TOWN ORDINANCE: Be prepared when you visit Beech Mountain in the winter. We recommend four-wheel drive vehicles or that you carry a set of tire chains for your drive wheels. Hazardous driving conditions are a possibility in winter, and there may be times when four-wheel drive vehicles or tire chains will be required.
RESERVE YOUR SKIS EARLY: It is best to reserve your skis early because sometimes it is hard for the ski shops to keep up the pace. We provide reservation forms and discount coupons to local shops. If you are a large group or coming to the area on holiday weekends please take advantage of this opportunity.
SKI BEECH: It is the eastern highest ski resort in the south. Ski Beech offers a variety of activities for all ages. They have 15 trails ranging from the beginners to the expert skier. Also, at Ski Beech they have an outdoor ice skating rink. We also have a sledding hill for children under 12 next to the Visitors Center.
